Who We Are

Garan-Beadagio, LLC operates beadagio.com and produces or supports public event websites including beadanddesign.com, colorsofthestone.com, artsandcraftsshow.com, and artazan.com. These websites support our artisan trade shows, artisan markets, attendee registration, workshops, exhibitor applications, exhibitor accounts, mailing lists, and related event services.

In this policy, “Garan-Beadagio,” “we,” “us,” and “our” refer to Garan-Beadagio, LLC unless a particular service is identified as being provided by another business or service provider.

Information We Collect

We collect information that you provide directly and limited technical information generated when you use our websites and services. Depending on how you interact with us, this may include:

Name, business name, mailing address, email address, telephone number, and other contact information.
Attendee registration, ticket, badge, workshop, check-in, and re-entry information.
Exhibitor account, application, contract, statement, booth, workshop, and show-participation information.
Information submitted through contact forms, mailing-list forms, surveys, applications, account pages, and customer-service communications.
Business descriptions, product categories, website or social-media links, seller or resale information, and other information relevant to exhibiting.
Photographs, logos, descriptions, artwork, and other materials submitted with an exhibitor application or for an approved exhibitor listing or promotion.
Payment-related records such as transaction amount, status, processor references, payment-profile references, card brand, and limited card details made available by a payment processor.
Technical and usage information such as IP address, browser and device information, referring page, pages viewed, timestamps, security events, and general location information inferred from an internet connection.

How We Use Information

We use information for legitimate event, business, security, and customer-service purposes, including to:

Process attendee registrations, tickets, badges, workshop registrations, check-in, and re-entry.
Review applications to exhibit and administer exhibitor accounts, contracts, booth assignments, statements, payments, and show participation.
Communicate about registrations, workshops, applications, exhibitor matters, schedule changes, event logistics, and customer-service requests.
Maintain mailing lists and send event or exhibitor-opportunity communications when requested or otherwise permitted.
Create and maintain approved exhibitor listings and promote exhibitors and events.
Operate, troubleshoot, secure, and improve our websites, forms, accounts, and administrative systems.
Measure website performance and marketing effectiveness where permitted by your cookie and privacy choices.
Prevent fraud, spam, abuse, unauthorized access, and other misuse.
Maintain business, accounting, contractual, tax, security, and legal records.

Exhibitor Applications and Uploaded Photos

Information submitted through an Apply to Exhibit form is used to review the applicant, proposed work or merchandise, and fit for a particular event. An application may be associated with an existing exhibitor account when the applicant signs in or when submitted information matches an existing exhibitor record.

Photos uploaded with an application are reviewed privately with the application and are not published merely because they were uploaded. We may resize, reformat, or otherwise process uploaded images for security, storage, review, and listing purposes. If an applicant is approved, submitted photos may be used in an exhibitor listing or for show promotion as described at the time of submission and in our Terms & Conditions.

Application information may also be used by authorized staff to determine whether an applicant corresponds to an existing exhibitor or prospect record and to follow up about exhibiting opportunities.

Attendees, Workshops, and Instructors

Attendee information may be used to administer registrations, admission, tickets or badges, wholesale or retail registration status, check-in, re-entry, event communications, and related support.

When you register for a workshop, information reasonably necessary to administer that workshop may be shared with the applicable instructor, workshop coordinator, or registration administrator. This can include your name and contact information and information necessary for scheduling, class instructions, materials, or other workshop-related communication.

Workshop and admission services may be administered in coordination with related independent businesses. Admission payment administration may involve Garan Event Management, and workshop registration or payment administration may involve August Finch Event Management. Information is shared with those businesses only as reasonably necessary for the service, transaction, accounting, support, or legal obligations involved.

Email and Mailing Lists

You may receive operational or transactional email when you register, buy a ticket, enroll in a workshop, apply to exhibit, maintain an exhibitor account, make a payment, or otherwise request a service. These messages may include confirmations, reminders, schedule or event changes, account notices, exhibitor communications, or other information necessary to provide the requested service.

If you join one of our mailing lists or select an optional marketing preference, we may send promotional event updates or exhibitor opportunities. Promotional messages include an unsubscribe mechanism. Unsubscribing from promotional email does not prevent necessary transactional or operational messages related to an active registration, account, application, contract, payment, or event participation.

We use Constant Contact for certain mailing-list and email-marketing functions. Information submitted for those lists may be transferred to and processed by Constant Contact according to its privacy practices.

Cookies and Similar Technologies

Our websites use cookies and similar technologies for essential functions such as sessions, security, form protection, preferences, and other site operations. We may also use optional analytics or advertising technologies to understand website use and measure marketing effectiveness.

Cookie choices are available through the Cookie Preferences control in the website footer. Our current consent system treats Global Privacy Control (GPC) signals as an opt-out from optional tracking. For visitors we identify as likely to be in the United States, optional analytics or advertising technologies may be allowed by default unless you opt out. For other visitors, optional technologies are generally kept disabled until accepted. Your browser settings may also let you block or delete cookies.

Essential security and transaction functions, including Cloudflare Turnstile and services needed to complete a registration or payment you request, are not treated as optional advertising cookies.

Analytics, Advertising, and Embedded Services

We use Google Analytics on portions of our public websites to understand site traffic and performance, subject to our consent controls. We may also use Google advertising services to measure or support event advertising. Information sent for analytics or advertising purposes should not include names, email addresses, payment-card data, or other information that directly identifies you.

Our websites may also use or link to third-party services for maps, social media, embedded content, email delivery, security, hosting, ticketing, registration, or related event functions. Those services may process information according to their own privacy policies.

Cloudflare and Security Logs

We use Cloudflare services, including Turnstile, to help protect forms and websites from automated abuse and malicious traffic. Security systems may process IP address, browser or device information, request metadata, and other signals needed to detect abuse or verify that a request is legitimate.

Our servers and application systems also maintain security, access, sign-in, error, and audit logs as reasonably necessary to protect accounts, investigate problems, enforce rate limits, diagnose errors, and maintain system integrity.

If you choose to sign in with Google or Facebook, we receive the provider’s unique identifier for your account, verified email address, and basic profile name to create or link your attendee account. We do not receive your password, contacts, files, social posts, or other account content. Provider access tokens are used only to complete authentication and are not retained. Using social sign-in does not by itself subscribe you to promotional email.

Payment Information

Different parts of our services use different payment processors and merchant entities. Attendee admission and workshop payments use Square. Exhibitor payments use Authorize.net, including Authorize.net Customer Information Manager (CIM) payment profiles for certain stored-payment and scheduled-payment functions.

We do not intentionally store full payment-card numbers or card security codes in our application databases. Payment-card information may be transmitted to the applicable payment processor when you initiate a transaction, and we may retain transaction references, customer or payment-profile references, card brand, expiration information, last four digits, payment status, amount, and other records needed for accounting, customer service, fraud prevention, contracts, or scheduled payments. If you affirmatively choose to save a card, the payment processor stores the card on our behalf and you can remove the saved card through your account.

To process and associate an attendee payment, we may provide Square with information such as your name, telephone number, company name, attendee reference, and transaction details. We provide your email address in the Square customer or payment record only when you have selected our marketing preference or are already subscribed to our mailing list. Square may display such a customer as available for Square Marketing; we currently manage promotional email through Garan-Beadagio and our designated email provider rather than Square Marketing.

Payment processors and merchant entities handle payment information under their own privacy and security practices. The merchant name appearing on a card statement may differ depending on whether the transaction concerns admission, a workshop, or an exhibitor payment.

We do not sell personal information for money. We may disclose or make information available to service providers, contractors, related event administrators, venues, instructors, payment processors, email providers, analytics or advertising providers, hosting or security providers, and other parties when reasonably necessary to operate our websites and events or provide a service you request.

Depending on the activity, these providers may include Cloudflare, Google, Constant Contact, Square, Authorize.net, Garan Event Management, August Finch Event Management, and event venues, instructors, or contractors involved in the applicable service.

We may also disclose information when reasonably necessary to:

Comply with applicable law, regulation, subpoena, court order, or other legal process.
Protect the rights, safety, property, accounts, events, users, exhibitors, attendees, staff, venues, or systems of Garan-Beadagio or others.
Investigate fraud, abuse, security incidents, payment disputes, or violations of applicable terms or contracts.
Complete or evaluate a business transaction such as a merger, acquisition, financing, reorganization, or sale of assets, subject to applicable law.

Your Privacy Choices

You can use Cookie Preferences in the footer to review or change optional cookie choices. You can also use browser controls to block or delete cookies and may use Global Privacy Control where supported.

You can unsubscribe from promotional email using the unsubscribe link included in those messages. You may also contact us to ask about your personal information or request a correction, deletion, or other privacy action. Some information may need to be retained for contracts, accounting, fraud prevention, security, legal compliance, dispute resolution, or other permitted purposes.

California and Other Privacy Rights

Depending on where you live and which privacy laws apply to our business and your information, you may have rights to request access to, correction of, or deletion of certain personal information, or to obtain information about how personal information is collected, used, disclosed, or shared. You may also have rights to object to or limit certain processing or advertising-related uses.

California residents may have rights under applicable California privacy law, including rights relating to access, correction, deletion, and certain disclosures or sharing, subject to legal exceptions and applicability requirements. We do not discriminate against you for exercising an applicable privacy right.

Residents of the European Economic Area, United Kingdom, or other jurisdictions may have additional rights where their local data-protection laws apply, including rights related to access, correction, deletion, restriction, objection, portability, or withdrawal of consent.

Data Retention

We retain information for as long as reasonably necessary for the purpose for which it was collected and for event operations, contracts, customer service, accounting, payment records, tax obligations, legal compliance, dispute resolution, fraud prevention, security, historical business records, and other legitimate business needs.

Different records may therefore be retained for different periods. Application photos and other submitted files may be retained while an application is being reviewed and afterward as reasonably needed for exhibitor records, approved listings, promotion, security, or business history. We may delete or archive records when they are no longer reasonably needed, subject to applicable law and contractual obligations.

Data Security

We use administrative, technical, and physical safeguards intended to protect personal information and account data. These include access controls, password hashing, secure connections, form protections, security logging, rate limiting, and use of specialized payment processors for payment-card functions.

No website, server, database, email system, payment network, or internet transmission can be guaranteed to be completely secure. You are responsible for maintaining the confidentiality of your account credentials and should notify us if you believe an account has been compromised.

Children

Our websites are intended primarily for adults attending, exhibiting at, teaching at, or doing business with our events. We do not knowingly collect personal information online from children under 13 without appropriate authorization. If you believe a child under 13 has submitted personal information to us, please contact us so we can review the situation.

Third-Party Websites

Our websites may link to third-party websites or services that we do not control. Their privacy, security, and data-handling practices are governed by their own policies. We encourage you to review those policies when leaving our websites or using an independent third-party service.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our websites, event services, service providers, legal obligations, or privacy practices. The current version will be posted on this page with a revised “Last updated” date.
